What is Invoicedrop.com?

Invoicedrop is a service provided by Ibistic. Receive invoices by e-mail via your own invoicedrop address. Invoicedrop.com is a service run by Ibistic Technologies. It is a service which allows customers of Ibistic to receive invoices sent by e-mail from their suppliers for scanning, interpretation, and verification and later handling and approval in the Ibistic Invoice System (invoice workflow solution). The supplier can send PDF or TIFF files to [company name]@invoicedrop.com. He can send more than one document in the same email and can mix both PDF and TIFF files freely. Currently, one email can be as large as 50MB while each attachment cannot exceed 6,5MB.

 

As soon as the email has been processed by the invoicedrop.com integration, the supplier will receive an email reply stating that the document has been received or an error message will occur (please see below for descriptions of possible error messages). Invoicedrop is thus an Ibistic service for optimizing invoice workflow. Document tracking

An important feature in invoicedrop.com is document tracking. Since documents pass through Ibistic before they are sent to the scanning central (for scanning, interpretation, and verification), Ibistic assigns a unique tracking id number to the document which is forwarded to the scanning central. This ensures advanced tracking functionalities for the single document and is tracked through the entire workflow. When a document is received from interpretation, Ibistic knows the tracking id and can, therefore, update the document tracking with a successful receipt. If the document for some reason is rejected by the scanning central they will send structured information about this. The failure receipt is stored in invoicedrop.com and an email is automatically sent to the originator of the document. TYPES OF ERROR MESSAGES

If an error occurred while sending invoices to your customer via invoicedrop.com, you will receive an email reply with an attached error description. Below you will find a list of possible error messages:

No attachment  

CRITICAL ERROR!
This message could not be processed for the following reason: Your mail contained no attachments.

*This message cannot be processed because your email was missing an attachment.

Multiple recipients (the mail is sent to more than one address)

CRITICAL ERROR! 
This message could not be processed for the following reason: Your mail was sent to multiple recipients. Please only use one address in the TO header. 


* Note that if people want to send a copy of the emails they send to someone, they may freely use the CC field for this.

No deliverable attachment

CRITICAL ERROR! 
This message could not be processed for the following reason: Your mail contained no deliverable attachment. No documents from these messages
will be processed. 

* This means that either the input address was wrong or the file type (see how input channels are defined above). 

Malformed PDF (Invalid PDF)

CRITICAL ERROR! 
This message could not be processed for the following reason: The attachment 'qr.png.pdf' is invalid for the following reason: Invalid pdf document. File
does not start with a valid header (%PDF) No attachments from this mail will be processed. 

* This happens when a document is sent as PDF but is invalid. This is an uncommon situation. 

Malformed TIFF (Ugyldig TIFF)

CRITICAL ERROR! 
This message could not be processed for the following reason: The attachment 'qr.png.tif' is invalid. Error details: Invalid tiff document. Invalid image file header. No documents from this message 
will be processed. 

* This happens when a document is sent as TIFF but is invalid. This is an uncommon situation.

Unsupported document type (Fil-typen understøttes ikke)

CRITICAL ERROR! The following attachment was rejected by the OCR/interpretation service and will not be delivered: A10012601597-1211.pdf Error details: The file contains an unsupported document type. (Processed 17-01-2012 06:12:03)
